The LITE, PRO and PRO+ packages

#

You pay for access to the platform and for the usage generated through the HaiLa ecosystem. The monthly limit of your package keeps the cost predictable. Each venue has one package, and its invoice has at most two lines: the subscription and the variable component. HaiLa charges no activation or setup fee.

PackageMonthly subscriptionEligible Digital Event through HaiLaOwn channelMonthly cap
LITE, Discover0 EUR1.00 EURfirst 15 a month included, then 0.50 EURno cap
PRO, Operate50 EUR1.00 EUR0 EUR300 EUR
PRO+, Automate & grow100 EUR0.75 EUR0 EUR400 EUR

Amounts are in euro, before VAT. VAT applies only if, and to the extent that, it is due under the applicable law and the supplier's tax status on the invoicing date. The standard payment term is 14 calendar days from the invoice date, unless the individual commercial document expressly sets another term. Whether a guest is new or returning never changes the price: that difference only matters in the CRM.

Pilot and Enterprise

The pilot is an offer for specific venues, not a universal one. For the first 20 eligible locations it runs 30 days from actual activation and is then free until the end of that calendar month, and no invoice is issued in that time. Payment starts only from the following month and only after the venue explicitly accepts the offer; the restaurant gets a reminder at least 7 days before the pilot ends. A group with several venues can have Enterprise terms, set separately; the page then shows the figures agreed for your venue.

A package only changes together with HaiLa. The portal shows it next to each venue, but does not change it.

See your venue's package and rates

#

The package decides what the month costs you: the subscription, the rate per eligible event, what is included on your own channels, and the cap.

  1. Open HaiLa billing, in the left rail. The page is called What you pay HaiLa.
  2. Under By venue, the first row of each venue is the Package: its name, the subscription, the cap and the date the cap is guaranteed until.
  3. The same place shows the venue's cancellation cutoff. It only tells whether a guest cancelled in time or after the cutoff; neither cancellation is paid.
  4. If it says the package is set by default, HaiLa has not confirmed it for your venue yet. Write to us and we will fix it.
Cosa vede l'ospite

The guest sees none of this. Your package and rates are between you and HaiLa: they never appear on your venue page, are not added to the guest's bill, and change nothing about what they see when they book.

Attenzione a
  • The table under The LITE, PRO and PRO+ packages is the public offer. An Enterprise venue has its own figures, and the page shows those.
  • The cancellation cutoff is set per venue, in hours before the reservation time. A venue without its own cutoff gets the platform default, shown in the same place.
  • A reservation made when the cutoff has already passed can no longer be cancelled in time. If the guest cancels it, the cancellation is recorded as after the cutoff, and it is still not paid.
  • Billing looks the same to the owner and to anyone with the Sees the money right on the venue. Venues without that right are left off the page.

What counts towards the variable component

#

You pay for reservations that actually happen

The variable component applies to reservations generated through HaiLa, accepted by the venue and ending with the guest's visit. Reservations that were declined, cancelled, marked as a no-show or affected by an identified technical error are not included.

Such a reservation is called an Eligible Digital Event. It only becomes eligible after the visit: when your team marks the party seated or the reservation completed, or when it closes itself at the end of the verification period after the reservation time, with no cancellation or no-show marked. Until then it waits. The length of the verification period is not fixed contractually at a numeric value: it is set operationally in the platform and can be adjusted as needed, without changing the eligibility rule.

No-shows are free

A reservation the guest never turns up for costs you nothing, ever. It appears in the monthly report so you can see it, but it goes into no amount.

Own channel means digital requests that come through the venue's channels rather than through HaiLa: the widget on your website, your own link or QR code, the partner API, and requests your team types into HaiLa, for example over the phone. They go through the same eligibility rules but have their own rate.

The guest learns nothing of this. They do not see the rate, they do not see which category their reservation fell into, and they receive no message about billing.

The monthly cap and the 15 included on LITE

#

On PRO and PRO+, the subscription and the variable component together never go past the package's monthly cap: 300 EUR on PRO, 400 EUR on PRO+, before VAT. Whatever goes past the cap in a month is not invoiced.

One month at a PRO venueAmount, before VAT
Subscription50 EUR
314 Eligible Digital Events through HaiLa × 1.00 EUR314 EUR
Theoretical tariff364 EUR
Applicable cap300 EUR
Invoiced300 EUR

Founding Partner protection is a specific offer for the first 20 eligible locations: the agreed monthly package fee, the eligible HaiLa rate and the applicable commercial cap stay the same for 12 months from the start of the first paid period, and the page shows the date they are guaranteed until. Extra services and legal taxes are excluded. Mandatory fees, legislative or tax changes and direct third-party costs may be treated separately under the applicable contract documents. Outside the cap, on separate lines, stay only the optional services: campaigns, paid promotion, SMS, third-party services and custom work.

LITE has no cap. Instead, the first 15 reservations a month from your own channels are included; from the 16th, each costs 0.50 EUR. Reservations through HaiLa cost 1.00 EUR each, from the first.

Everything is counted, the cap only limits the amount

Every eligible event is counted, even after you reach the cap. The cap only limits the money, so the monthly report always shows all your traffic.

Read the current month

#

Halfway through the month you want to know what has built up, where the amount comes from and what can still change it before the invoice.

  1. Open HaiLa billing. The top says what has built up so far, with VAT, and roughly where the month will end if the pace holds.
  2. The Worth knowing list says what can still change the amount: confirmed reservations still to come, requests without an answer, or a cap reached.
  3. Under By venue you see, for each venue, the invoice lines with their invoice wording: the subscription and the variable component, then the cap and the total with VAT.
  4. The month's report lists the thirteen figures one under the other: requests through HaiLa, declined, expired, technical errors, confirmed, cancelled in time, cancelled after the cutoff, eligible (the visits that happened), own channel, billable events, theoretical tariff, cap and invoiced. No-shows sit on their own row; they and the late cancellations are free.
  5. Download for the accountant saves the same figures as a CSV file.
Cosa vede l'ospite

Nothing you do on this page reaches the guest or changes any reservation. The page only reads.

Attenzione a
  • The current month is a preview, not an invoice. Nothing is paid in the portal, and there is nowhere to enter a card.
  • A confirmed reservation only becomes eligible after the visit. Until then it is not in the amount, so the month's figure grows as the days go by.
  • The end-of-month estimate is a rule of three on the pace so far, with the cap applied. Early in the month it jumps a lot from one day to the next, so do not read it as a promise.
  • A venue marked with a star has reservations the platform has not classified yet; its amount can still grow.
  • The downloaded file holds the month you have open, with one row per venue.

See past months' invoices

#

With two or three venues on one account, you want each one's invoice, with its own package, not just a month total.

  1. Open HaiLa billing and scroll to Past months.
  2. Each month shows the invoice total with VAT and its state: being prepared, issued, paid, overdue or void.
  3. Tap a month to see its lines and its report, exactly as they were written on the invoice.
  4. With several venues, each has its own invoice, with its own package and cap.
Cosa vede l'ospite

The guest sees nothing. The page reads invoices already prepared; it touches neither reservations nor venues.

Attenzione a
  • A month without an invoice says so, never 0 EUR. A month's invoice is prepared on the 1st of the following month.
  • Invoices made before the LITE, PRO and PRO+ packages show the lines of the time: reservations through HaiLa and through the widget or API, each at its own rate.
  • A void invoice stays in the list, without an amount.
  • The cap applies to each venue, not to the whole account.

VAT

#

Every package amount is before VAT. VAT applies only if, and to the extent that, it is due under the applicable law and the supplier's tax status on the invoicing date; where it applies, it is added to the invoice total once, after the cap has been applied.

On the page, each venue's total shows the net amount, the VAT and the amount with VAT. The CSV file splits it the same way.

The amount with VAT is the figure that counts

When you set the invoice against your budget, look at the amount with VAT, not the net. It is the only one that holds everything.

The standard payment term is 14 calendar days from the invoice date, unless the individual commercial document expressly sets another term. No-shows, and anything else outside the variable component, carry no VAT either, because they carry no amount.

Ask about an invoice line

#

A figure that does not look like your month is quick to clear up if you know what to check first and whom to write to.

  1. Open HaiLa billing and pick the month under Past months.
  2. Compare the month's report with what you see in the venue's workspace, under Reservations, for the same month.
  3. Look first at the reservations that closed themselves and at your own channel: they are the two usual reasons the number comes out different from what you expected. A reservation the guest never came to, but that nobody marked as a no-show within the verification period, closed itself as a visit.
  4. Press Download for the accountant, so you have the figures exactly as we see them.
  5. Write to hello@haila.md with the venue name, the month and the file. The address is also in the left rail, under Help.
Cosa vede l'ospite

Nothing touches the guest. A billing question changes none of their reservations and sends them no message.

Attenzione a
  • The portal has no dispute button. The conversation happens by email; there is no other route.
  • A disputed reservation is set aside until we clear it up and is not invoiced in the meantime. Every decision stays written in the reservation's history.
  • No-shows and cancellations are both free, so a no-show marked instead of a cancellation does not change the amount.
  • The current month's figures grow as the visits take place. If you want to compare two screens, take them on the same day.
